Director of Development: Summary

The Director of Development is responsible for overseeing all aspects of the Museum's development activities, including the annual fund, major gifts, grant and foundation support, membership programs, sponsorship, special events, and planned giving.

Organizational Relationships

This is a full-time, salaried position reporting to the Executive Director, with supervisory responsibility for the Grants Writer, Membership Assistants, Special Events and Facility Rental Coordinators, and outside contract service providers as needed.

Development Duties and Responsibilities

  • Develop and implement a yearly and long-range strategic fundraising plan
  • Serve as staff representative of the development committee, working in tandem with the executive director to execute the board's fundraising activities
  • Work with the Annual Fund chair to establish plan of action, management of solicitors, prospect identification, mail pieces, tracking and preparation of follow-up reports and acknowledgements
  • Oversee and participate as needed in grant activities, including solicitation, preparation, site visits, and tracking of reports and acknowledgements
  • Oversee individual and corporate membership program
  • Solicit underwriting and sponsorship of special events, exhibitions and Museum programs
  • Donor cultivation, gift acknowledgement, donor recognition, and activity tracking for all of the above fundraising areas, and any additional gifts. Reporting of all gifts for the board, media (as necessary), and the Annual Report
  • Supervise and delegate tasks among development staff, special events and facility rental coordinators as needed and appropriate
  • Oversee special events coordinator in planning and execution of all the Museums events, including Summer Gala, Wet Paint, Artists' Ball and other events as needed
  • Support the executive director as needed with special correspondence, acknowledgements, phone calls, representation, public relations development, reporting, and other activities as needed.
  • Planned Giving: long range planning, research, estate financing and investment education, brochure development, cultivation strategies, tracking and preparation of follow up reports and acknowledgements in support of general and specific funding needs, especially endowments
  • Other tasks as needed

Qualifications

  • At least 5 years of development experience
  • Supervisory experience
  • Excellent communications skills, both written and verbal
  • Ability to effectively represent the Museum to the public
  • Knowledge of and good connections with the business community and area foundations
  • Fluency in Raiser's Edge helpful

Development Associate: Summary

The Development Associate is responsible for the overall organization and smooth operation of the Museum's Membership program. The Development Associate will process and manage all renewal notices, reminders, and Member cards; maintains the Membership database; processes checks and credit card payments; and generates Membership reports. The Development Associate will work collaboratively with the Director of Development on major giving and sponsorship cultivation, donor special events and stewardship, and annual fund solicitation.

Essential Duties and Responsiblities include the following: (Other duties may be assigned as needed.)

  • Manage all levels of Individual Membership and all levels of Corporate Membership, including acquisition, renewals, and upgrades. Oversee the same for lapsed Members.
  • Plan and coordinate all Membership events, including upper level Membership receptions.
  • Manage the annual Membership budget, including planning and attaining fiscal year goals for all Membership levels and other associated revenues; project quarterly Membership financial statistics and track expenses.
  • Provide direction for front-line staff and volunteers in converting Museum visitors into Members; devise incentive campaigns to sell Memberships at "Front of House" and in the Museum's store.
  • Manage special Membership acquisition projects including on-going lapsed Member and upgrade appeals and direct mail campaigns.
  • Responsible for inputting all incoming gift information into donor records using The Raiser's Edge.
  • Perform daily maintenance and enhancement of all donor and prospect records using The Raiser's Edge.
  • Create queries and reports that provide critical information to office leadership; manage and produce print and on-line mailing lists.
  • Monitor and maintain data accuracy, integrity, and security for all constituent records.
  • Process all donor acknowledgements, and ensure timely acknowledgement and proper follow-up.
  • Assist in assessing the strategic direction of the Museum's information database capacity and in developing knowledge management plan for the office.
  • Design and implement the process for tracking and reporting data in Raisers Edge.
  • Coordinate reporting and analysis of fundraising initiatives and progress toward goals.
  • Create and update records for individuals and organizations, including biographical and demographical information, relationships links, and general activity data on donors and other constituents.
  • Conduct basic research on individuals, corporations, and foundations for prospect research staff.
  • Code and update information returned via mail, change of address notifications, and other printed materials.
  • Determine and communicate tax deductibility of each level of Membership annually. Manage and update Membership benefit fulfillment program.
  • Work with the Marketing and Curatorial staff to develop and produce invitations to exhibition Member openings.
  • Ensure the Membership area of the Museum's website is accurate and complete.
  • Update, make changes, and reorder stock for all Membership print materials (i.e. brochure, membership letterhead, renewal letterhead, membership envelopes, etc.)
  • Assist with the Museum's Annual Report as it pertains to Membership and related donor and corporate giving information.
  • Attend other Development activities and events as needed.
  • Fulfill donation requests from other non-profit organizations.

Qualifications include the following:

  • Graduation from a four-year college program with an emphasis on art history, or other related field preferred.
  • Development experience and a minimum 3 years experience with a non-profit organization is required.
  • Must be proficient using Raiser's Edge.
  • Strong emphasis on teamwork and consistent communications with team members.
  • Strong knowledge and understanding of office and business procedures.
  • Demonstrated ability to manage Membership program and track details and results.
  • Highly organized, detail-oriented with excellent writing and communication skills.
  • Attention to confidentiality.
  • Ability to work effectively with both the public and with volunteers.
